Viewing the Calendar

  1. Select to view the calendar by clicking the Calendar link on your navigation bar. You can view your calendar by single day, 5 day week, 7 day week or a whole month by clicking the buttons at the top of the window.

Adding Appointments to the Calendar

  1. Add a New Appointment
    1. Select the New icon from the toolbar

    1. Click the File Menu and Select New, Appointment

    1. Press Ctrl + N
  1. Enter in the appropriate details such as Subject, Location, Start and Finish Date/Times.

    You can select to add a label from the drop down box to the appointment to identify the type and select to have a reminder message pop up at a time before the appointment.

  1. You can invite others to the meeting by clicking the Scheduling Tab.

    1. Select the Add Others button and browse the address book to add users/resources. You can invite the attendees as Required, Optional, or Resources.


    1. Once you have selected your attendees/resources you will see their availability in the busy search window.

      nb. If inviting a GroupWise user or External user outside DET you will not be able to see if they have possible conflicts with the appointment time.

    1. Click Send to invite attendees/resources

Creating Re-occuring Appointments

  1. When viewing your calendar appointment

    1.  Click the Recurrence button

    1. Set the appropriate settings for when the appointment should re-occur and click Ok.

Sharing your Calendar

1.                 In Calendar, in the Navigation Pane, click Share My Calendar.

  1. The Calendar Properties Box appears

  2. To Specify the people who can access your calendar
    1. Click Add.
    2. In the Add Users dialog box, in the Type Name or Select from List box, enter the name of the person whom you want to grant sharing permissions to.
    3. Under Add Users, click Add, and then click OK.
    4. In the Name box, click the name of the person you just added
    5. Under Permissions, in the Permission Level list, click the permission level that you want.
    6. If you only want other users to read your calendar, click into the Read Items checkbox (you will see the View Folder checkbox is also selected)  

   

Hint: You can use Outlook defined permissions by selecting from the Permission Level box under Permissions.

  1. If you want everyone with proxy Access to your calendar to have the same permissions
    1. click Default, in the Name box (as below)
    2. Under Permissions, in the Permission Level list, click the permission level that you want.
    3. If you only want other users to read your calendar, click into the Read Items checkbox (you will see the View Folder checkbox is also selected)

Important:  If you select the Private check box on a Calendar item in Microsoft Office Outlook 2003, do not grant Read permission to your Calendar folder to anyone whom you do not want to see private items. A person who is granted Read permission to access your folders could use programmatic methods or other e-mail applications to view the details in a private item.

Opening another person's Calendar

You can quickly view another person's calendar, contacts, and tasks from the Navigation Pane. After the first time you access another person's folder, the shared folder is added to the Navigation Pane. The next time you want to view the other person's folder, you can select it in the Navigation Pane.

1.     In Calendar, click Open a Shared Calendar.

2.     To select another person's name from the address book,
click Name or type the name in the Name box.

The new calendar will appear to the side of any calendar already in the view
You can view up to 30 calendars side-by-side in Calendar.

3.     If you uncheck any of the calendars only one will be on view


 

Hint: You can quickly schedule a meeting with other people whose calendars you are viewing. On the Actions menu, point to New Meeting Request With, and then click All or any name in the list.

Remove sharing permissions for your Calendar

  1. In Calendar, in the Navigation Pane, single click My Calendar, then right-click it and click Sharing on the shortcut menu.

  1. Click the Permissions tab.

  1. In the Name box, click the name of the person you want to remove sharing permission for.
  2. Click Remove.

Note: To temporarily suspend permissions to a user, change the permissions to None. Changing the permissions to None does not remove the user from the list and allows you to quickly reinstate permissions at a later time.

 

TASK:

2. Create an appointment and send it to some colleagues
